Position Summary
Join Acadia's Technology Development, Operations & Quality (TDOQ) team as an Operations Coordinator, where you'll play a key role in ensuring the smooth execution of critical operational, quality, compliance, and business processes. This position supports a wide range of cross-functional activities including contract administration, regulatory coordination, quality documentation, process improvement initiatives, and team engagement programs. The ideal candidate is highly organized, detail-oriented, and thrives in a dynamic environment where operational excellence and reliability directly contribute to business success. This is an exciting opportunity to work across multiple functions while helping drive efficiency, compliance, and organizational effectiveness.


Primary Responsibilities
    • Coordinate and submit contracts through Agiloft, ensuring timely routing, tracking, execution, and documentation management
    • Support contract administration activities including purchase order tracking, coding alignment, funding documentation, and contract lifecycle monitoring
    • Process product complaint intake and maintain audit-ready quality records, documentation, and filing systems
    • Assist with Quality Agreement submissions, regulatory documentation, license renewals, and Change of Officer filings
    • Coordinate cross-functional workflows with Legal, Finance, Procurement, Manufacturing, Quality, and Pharmaceutical Development teams
    • Support employee engagement initiatives, survey working groups, All-Hands meetings, and internal communications
    • Maintain and enhance TDOQ Acadium intranet pages and support adoption of business tools including Agiloft and Smartsheet
    • Identify and support process improvements that increase efficiency, documentation accuracy, and operational effectiveness
    • Coordinate meetings, logistics, presentations, and materials to support departmental operations and leadership communications
    • Other duties as assigned


Education/Experience/Skills
    • Associate degree in Life Sciences or a related field; equivalent combination of education and applicable job experience may be considered
    • Minimum 2 years of experience in an operational support, project coordination, or project management role, preferably within the pharmaceutical, biotechnology, or regulated industry environment
    • Experience supporting contracts, compliance processes, quality documentation, or regulatory activities
    • Demonstrated administrative, technical, and project coordination skills
    • Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint
    • Experience working with business systems such as Agiloft, Smartsheet, document management platforms, or similar tools
    • Strong organizational skills with the ability to manage multiple priorities and deadlines
    • Excellent attention to detail and commitment to accuracy
    • Flexibility to adapt to changing priorities and business needs


Physical Requirements
This role involves regular standing, walking, sitting, and the use of hands for handling or operating equipment. The employee may also need to reach, climb, balance, stoop, kneel, crouch, and maintain visual, verbal, and auditory communication in a standard office environment and while working independently from remote locations. The employee must occasionally lift and/or move up to 20 pounds. This position requires the ability to travel independently overnight and/or work after hours as required by travel schedules or business needs.

In addition to a competitive base salary, this position is also eligible for discretionary bonus and equity awards based on factors such as individual and organizational performance. Actual amounts will vary depending on experience, performance, and location. 

Salary Range
$30.77$38.56 USD
