Position Summary:
This role provides leadership to the People Operations team to create, implement, and manage processes and programs that address and optimize employee life-cycle, recordkeeping, reporting, compliance, workers compensation, and data compilation and analysis. Aligns goals with the company’s business strategy for highest level of efficiency and effectiveness.
Primary Responsibilities:
- Manage ServiceNow service ticketing system, including review, assignment and/or response to employee inquiries. Responsible for pulling data metrics related to service ticket inquiries on a regular basis for People Ops dashboard. Collaborates with IT to update system configuration as needed
- Contribute to the strategic direction of P&P processes and programs
- Oversee I-9 vendors, work authorization processes, and the E-Verify program; ensure compliance with Homeland Security requirements
- Assist with the creation and maintenance of SOPs and workflows for all P&P processes and assist with the administration of procedural change management
- Support HIPAA and SOX compliance initiatives
- Responsible for timely filing of all Federal and State mandated HR compliance-related reporting and filing requirements, including, but not limited to EEO-1, Vets-4212, CA Pay Data, ACA, CMS, MA HIRD
- Project Manager and reviewer for annual Employee Handbook review process
- Maintain compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance
- Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law
- Regularly reviews Workday Onboarding and Offboarding workflows to optimize process and ensure documents are current and relevant to maintain compliance with Federal, State, and Local mandates
- Oversees maintenance and periodic audits of all personnel records to ensure compliance, including collaboration with Legal team to ensure retention policy for personnel documents is compliantly maintained
- Collaborate with HRIS and other team members to troubleshoot and resolve HRIS and integration issues as needed
- Oversee and manage time-off processes in Workday
- Manage and/or prepare monthly in-office attendance reports
- Serve as primary point of contact for workers compensation administration. Manages, monitors, and administers Workers’ Compensation policy and benefits to ensure compliance with medical treatment, recordkeeping and administration requirements. Collaborate with Employee Health & Safety to facilitate the annual OSHA 300A report filing
- Oversight of the Tuition Reimbursement program
- Regularly review and troubleshoot processes and HR data, and identify opportunities for further improvement
- Leads the preparation and execution of innovative, cost-effective strategies and tools to meet and adjust to company and market needs
- Performs other assignments as directed
Education/Experience/Skills:
- Bachelor’s degree in Business Administration/Human Resources or related field. An equivalent combination of relevant education and applicable job experience may be considered
- Minimum 6+ years of progressive responsibility in human resources operations with a minimum of 3 years’ functional operational management experience
- Experience within a pharmaceutical/biotech/life sciences environment desired. International benefits experience a plus
- Background in HR Operations, compliance, business processes, HR policy administration and implementation, HR systems with experience in Workday strongly desired
- Demonstrated compliance knowledge related Federal, State, and Local laws/regulations
- Proficiency in using the latest versions of Microsoft Office including Outlook, Word, and PowerPoint
- Advanced proficiency with Excel (e.g.: pivot tables, V-Lookups, Macros) and Power Point
- Demonstrated proficiency in data management and project management
- Strong analytical and problem solving skills and attention to detail
- Self-motivation, team orientation and a pro-active approach to work
- Highest level of integrity and the ability to maintain confidential information
- Ability to accomplish multiple projects, work assignments and priorities with little supervision
- Ability to work under pressure, organize and prioritize projects and workload, working to tight deadlines in a fast-paced environment while maintaining a positive approach and demeanor
- Excellent communication skills and can establish trust with the business and key stakeholders
- Strategic planning, including developing and implementing project plans
- Knowledge of best practices, business processes and systems
- Ability to work effectively across functions as a team player

Scope:
Provides guidance to subordinates and/or manage department section, to achieve goals in accordance with established policies and to meet schedules and/or resolve problems. Receives assignments in the form of objectives. Follows processes and operational policies in selecting methods and techniques for obtaining solutions; determines how to use resources to meet schedules and goals. Works on issues of diverse scope which require evaluation of a variety of factors and an understanding of functional area objectives and trends. Erroneous decisions or failure to achieve results may add to costs and impact the short-term goals of the organization.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, see, talk or hear in a standard office environment. Employee must occasionally lift and/or move up to 15 pounds.
